Booking Terms and Conditions – Hamilton Island Holiday Homes

Please note, the terms and conditions of your booking will vary depending on your travel dates or travel season. Please be sure to read and understand the terms and conditions relevant to the travel season of your reservation.

Low Season (Year Round):

Payment and Cancellation Policies for Low and High Seasons (Excludes Festive Season, Conference and Contracted Groups Bookings)


If you have booked prior to 28th March 2020, please see below your Terms and Conditions:
  • Deposit policy: A deposit equivalent to 20% of the total booking value will be taken from the provided credit card. Full payment is required at the time of booking if travel is within 7 days of booking.
  • Final payment policy: Full payment for your accommodation is required no later than 7 days prior to your arrival. Payments not received by the due date may result in cancellation of the reservation. Please refer to your confirmation email for more information about your payment options (by credit cards or direct deposit).
  • Cancellation policy: Notice of any cancellation, amendment or reduction in the daily number of reserved rooms must be provided in writing to Hamilton Island Holidays. Cancellations and amendments received outside of 14 days prior to arrival will not incur a cancellation fee. Cancellations and amendments received within 14 days of arrival will be subject to a cancellation fee of 20% of the total booking value at the contracted rate. Cancellations and amendments received within 7 days of arrival, ‘no shows’ and/or ‘early departures’ will be subject to a cancellation fee of 100% of the total booking value at the contracted rate - i.e.: the penalty will equal the total booking value. If you have tested positive to COVID-19 in the 14 days prior to travel or are in self-isolation within 7 days of travel, we will amend your travel dates without penalty (written documentation is required). Credit Card fees are non-refundable.
If you have booked after 28th March 2020, please see below your Terms and Conditions:

Cancellations and amendments received within 21 days of arrival, ‘no shows’ and/or ‘early departures’ will be subject to a cancellation fee of 100% of the total booking value at the contracted rate - i.e.: the penalty will equal the total booking value.
  • Terms relating to COVID-19 illness and border restrictions: If you have paid your final balance while borders are closed - if borders are still closed over your travel dates, the Standard or Festive Season Cancellation Policy will apply (see these below). If you have paid your final balance while borders are open – if there is a sudden border closure after your final balance payment, we will amend your travel dates without penalty for the same property. If you cancel your booking before the Cancellation date your 20% booking deposit will be refunded or credited toward your amended dates for the same property. If you have tested positive to COVID-19 in the 14 days prior to travel or are in self-isolation within 7 days of travel, we will amend your travel dates without penalty (written documentation is required) for the same property. Credit card fees are non-refundable.

Festive Season:

  • 22 December 2020 – 9 January 2021
  • 21 December 2021 - 8 January 2022
  • Festive season minimum stay: A 5 night minimum stay applies to all bookings incorporating festive season.

Payment and Cancellation Policies for Festive Season (Excludes Low Season, High Season, Race Week, Conference and Contracted Groups Bookings)

  • Deposit policy: A deposit equivalent to 20% of the total booking value will be taken from the provided credit card. Full payment is required at the time of booking if booked after 6 November.
  • Festive Season Final Payment Policy (bookings incorporating 22 December 2020 – 9 January 2021 and 21 December 2021 - 8 January 2022‚Äč inclusive): The balance of your payment is required by 6th November 2020 for all Festive Season bookings. Payments not received by this date may result in cancellation of the reservation and your deposit forfeited. Final balance payments are processed on the nominated credit card provided at the time of booking. To pre-pay your final balance via an alternative method, please contact our Reservations team on 137 333 (+61 2 9433 0444). Full payment is required at the time of booking if a Festive Season booking is made after 6th November 2020. Credit card fees are non-refundable.
  • Festive Season Cancellation Policy (bookings incorporating 22 December 2020 – 9 January 2021 and 21 December 2021 - 8 January 2022 inclusive): Notice of any cancellation, amendment or reduction in the daily number of reserved rooms must be provided in writing to Hamilton Island Holidays on vacations@hamiltonisland.com.au. Cancellations and amendments received before 6th November 2020 will not incur a penalty. Any cancellations and amendments received from 6th November inclusive, no shows and/or early departures will be subject to a cancellation fee of 100% of the total booking value.
  • Terms relating to COVID-19 illness and border restrictions: If you have paid your final balance while borders are closed - if borders are still closed over your travel dates, the Standard or Festive Season Cancellation Policy will apply (see these below). Conference Bookings:

  • For Holiday Homes booked by guests attending a conference please refer to our specific conference Terms and Conditions.
  • For Holiday Home guests booked as part of a contracted group, please refer to your signed contract for specific Terms and Conditions.

Minimum Night Stays:

See below for varying minimum night stay restrictions based on travel dates and unique properties (including low season, high season, festive season and Race Week).

  • Low Season: a minimum 3-night stay applies.
  • High Season: a minimum 5-night stay applies to all bookings incorporating high season dates.
  • Festive Season: a 5 night minimum stay applies to all bookings incorporating festive season dates.
  • Race Week: a 5 night minimum stay applies to all bookings, at all properties, incorporating dates over Hamilton Island Race Week (Aquila has an 8 night minimum stay over Hamilton Island Race Week dates).
  • Unique Properties: Low and High Season (further restrictions apply for Festive and Race Week bookings – see above).
    • Whitehaven House - a minimum 5-night stay applies all year round.
    • Papillion – a minimum 5-night stay applies all year round.
    • Barrier Reef House - a minimum 5-night stay applies all year round.
    • Aquila - a minimum 8-night stay applies over Hamilton Island Race Week dates.

Stay 7 nights, Pay 6 (for stays up until 31 March 2021): Stays of 7 nights or more receive the 7th night free. The following blackout dates apply 9 - 12 April 2020, 14 - 22 August 2020, 25 September - 10 October 2020, 22 December 2020 - 18 January 2021. All nights must be booked in the same holiday home for the whole duration of the stay. All nights must fall within the offer's Travel Validity dates to receive the 7th night free. For stays which cross over Year Round and Peak Season travel dates, each night will be priced at the applicable season's rate. Extra nights may be added at the applicable nightly rate. Maximum 1 (one) free night per booking. Not available in conjunction with any other offer.

Online Holiday Homes Booking Requests:

If you submit a booking request via our website (hamiltonislandholidayhomes.com.au) and the Holiday Home is available, the credit card provided at the time of booking will be processed for the nominated value and you will receive a formal confirmation email outlining your reservation details. Should your requested Holiday Home not be available you will be contacted by our Hamilton Island Reservations team to discuss alternatives. We encourage you not to book flights until you have received a formal booking confirmation email from our Reservations team.

Credit Card Transaction Fees:

The following credit card transaction fees apply: 3% Amex, 1.25% Visa, MasterCard and Union Pay. Credit card transaction fees are non-refundable. All prices are quoted in AUD and include 10% GST.

Buggy Terms and Conditions:

The number of buggies included for each property varies, please refer to your specific property’s information page on hamiltonislandholidayhomes.com.au to view your buggy inclusions. Note that Whitsunday Apartments do not include a buggy in the rate.

If your accommodation reservation includes a golf buggy in the rate, then the following terms and conditions apply:

  • A full and current driver’s license is required to obtain use of a Golf Buggy.
  • Please be aware that as a condition of use, a $0 hold will be placed on your credit card when collecting your buggy.
  • Any repairs or replacement costs incurred due to damage whilst in your care is your responsibility.
  • You have the option to purchase a $12 per day damage waiver to protect against accidental damage. If the buggy is damaged and the waiver has not been purchased then $1,500 is charged to your credit card until the damage and cost has been assessed.

Queensland Department of Transport and Main Roads have set out the following condition for use for all buggies operating on Hamilton Island:

  • Authorised drivers must be a minimum age of 21 years old and hold a current driver’s license to drive the vehicle.
  • A passenger less than six months old must be restrained in a rearward facing infant restraint, located in the front seat and secured to an engineered anchor point and fitted seatbelt.
  • A passenger at least six months old, but less than four years old must be restrained in an approved forward facing child restraint and secured to an engineered anchor point and fitted seat belt.
  • Children are not permitted to travel on the lap of another passenger.
  • A passenger at least four years old, but less than seven years old must be restrained in an approved forward facing child restraint or by a seatbelt.
  • A passenger four years old and above must not occupy the front passenger seating position if there is another passenger who is less than four years old.

Important Information:

  • Maximum occupancy: Bookings will not be accepted if the maximum number of guests exceeds the stated capacity of the property. It is the responsibility of the guest to ensure that the property meets the capacity requirements of their travelling party prior to booking.
  • Check-in time is 2.00pm. 
  • Check-out time is 10.00am. Arrival and departure details are required at the time of booking.
  • Travel Insurance: Hamilton Island Holidays recommends purchasing travel insurance to cover cancellations, travel delays and all other unforeseen incidents and accidents.
  • Velocity Points: Stays in Yacht Club Villas, Hamilton Island Holiday Homes and Whitsunday Apartments are excluded from earning Velocity Points.
  • Images displayed on the Hamilton Island website: are indicative of the Holiday Home you have booked for your stay. However please be aware that each property is subject to changes (internally and externally) as approved by the owner such as replacing / upgrading contents or modifying the property.
  • Property Removed from Letting Pool: In the event that the property you have selected is removed from the Hamilton Island Enterprises Holiday Letting pool, you will be notified and we will endeavour to offer you suitable alternative accommodation options. Should an alternate holiday property option not be suitable for the period of your stay, you may cancel your booking without penalty on the accommodation booking.
  • Mid-stay cleans: Please note, Yacht Club Villa stays of 5 or more nights receive a complimentary mid-stay clean. For shorter stays and non-Yacht Club Villa properties, your Holiday Home is not serviced during your stay. If you would like to enquire about mid0stay cleans, please contact our reservations team on 1800 370 811 or on 02 9433 3113 for international calls.
  • Entertaining in a Hamilton Island Holiday Home: Please note that guests may not use their holiday home accommodation for entertaining purposes unless prior written permission has been obtained from HIHH on behalf of the property owner. This extends to but is not limited to parties or functions within the property. Once permission has been granted, our Hamilton Island Events team may assist with setup and catering requirements, subject to their availability and at an additional cost.

** Terms and Conditions for 'Exclusive Bonus Inclusions':

  • Bonus Inclusions per day value is offered complimentary by Hamilton Island Holiday Homes and is estimated based on the combined cost of one buggy hire, one hour kayak hire for a family (2 adults, 2 children) and two meals per day for two children (eating at the participating Kids Stay and Eat Free^ restaurants). The exact value of Inclusions will depend on the number of guests (adults and children) in the traveling party, number and type of non-motorised watersports engaged in during any given day and type of property. There is no limited on how many non-motorised watersports Hamilton Island Holiday Homes guests choose to participate in during one day. Non-motorised watersports are defined as Kayaking, Stand Up Paddle Boarding, Catamarans, Windsurfing and Snorkelling. Inclusions are available for guests staying in Hamilton Island Holiday Homes managed properties only. Whitsunday Apartments do not include a buggy. Inclusions value is not transferable or refundable for cancellations or ‘no shows’ and cannot be substituted as a monetary value. For more information, contact 1800 370 811.
