Terms and conditions of your booking

Please note, the terms and conditions of your booking will vary depending on your travel dates or travel season. Please be sure to read and understand the terms and conditions relevant to the travel season of your reservation.
 
Travel seasons for stays in our Holiday Homes are listed below (dates are inclusive).

Low Season (Year Round):

  • 28 January – 29 March 2018
  • 30 April – 28 June 2018
  • 23 July – 16 August 2018
  • 26 August – 20 September 2018
  • 15 October – 20 December 2018
  • 28 January – 31 March 2019

High Season (Peak):

  • 7 – 27 January 2018
  • 30 March – 29 April 2018
  • 29 June – 22 July 2018
  • 21 September – 14 October 2018
  • 6 – 27 January 2019

Payment and Cancellation Policies for Low and High Seasons (Excludes Festive Season, Race Week, Conference and Contracted Groups Bookings)

  • Deposit policy: A deposit equivalent to 20% of the total booking value will be taken from the provided credit card. Full payment is required at the time of booking if travel is within 7 days of booking.
  • Final payment policy: The balance of your accommodation is required no later than 7 days prior to your arrival. At this time, Hamilton Island Holidays will contact you in regards to payment if not previously settled. To pre-pay your balance, please contact our bookings specialist on 137 333 (+61 2 9433 0444).
  • Cancellation policy: Notice of any cancellation, amendment or reduction in the daily number of reserved rooms must be provided in writing to Hamilton Island Holidays. Cancellations and amendments received outside of 14 days prior to arrival will not incur a cancellation fee. Cancellations and amendments received within 14 days of arrival will be subject to a cancellation fee of 20% of the total booking value at the contracted rate. Cancellations and amendments received within 7 days of arrival, ‘no shows’ and/or ‘early departures’ will be subject to a cancellation fee of 100% of the total booking value at the contracted rate - i.e.: the penalty will equal the total booking value.

Race Week:

  • 17 – 25 August 2018

Payment and Cancellation Policies for Race Week (Excludes Low Season, High Season, Festive, Conference and Contracted Groups Bookings)

  • Deposit policy: A non-refundable deposit equivalent to 20% of the total booking value will be taken from the provided credit card. Full payment is required at the time of booking if made on or after 1 July.
  • Final payment policy: Full prepayment is required no later than 1 July. Payments not received by the due date may result in cancellation of the reservation.
  • Cancellation policy: Cancellations or amendments received up to and including 30 June. will be subject to a cancellation fee of 20% of the total booking value at the contracted rate. Cancellations or amendments received from 1 July 2018, ‘no shows’ and or ‘early departures’ will be subject to a cancellation fee of 100% of the total booking value at the contracted rate - i.e.: penalty will equal the total booking value.

Festive Season:

  • 21 December 2018 – 5 January 2019

Payment and Cancellation Policies for Festive Season ( Excludes Low Season, High Season, Race Week, Conference and Contracted Groups Bookings)

  • Deposit policy: A deposit equivalent to 20% of the total booking value will be taken from the provided credit card. Full payment is required at the time of booking if booked after 1 November.
  • Final payment policy: Full prepayment is required no later than 1st November. Payments not received by the due date may result in cancellation of the reservation.
  • Cancellation policy: Cancellations and amendments received up to and including 31 October 2017 will be subject to a cancellation fee of 20% of the total booking value. Cancellations and amendments received from 1 November 2017, ‘no shows’ and/or ‘early departures’ will be subject to a cancellation fee of 100% of the total booking value.

Conference Bookings

  • For Holiday Homes booked by guests attending a conference please refer to our specific conference Terms and Conditions.
  • For Holiday Home guests booked as part of a contracted group, please refer to your signed contract for specific Terms and Conditions.
 

Minimum Night Stays:

  • A minimum 5-night stay applies for travel commencing after 1 April 2018 (3 nights in low season). See below for further festive season and Race Week and unique property minimum stay restrictions.
  • A minimum 5-night stay applies at the Yacht Club Villas, Alang Alang, Papillon, Kirribilli and Point Blue for travel commencing after 1 April 2016 (4 nights in low season). See below for further festive season and Race Week minimum stay restrictions.
  • A minimum 5-night stay applies at Barrier Reef House. See below for further festive season and Race Week minimum stay restrictions.
  • Festive season minimum stay: A 5 night minimum stay applies to all bookings incorporating festive season.
  • Race Week minimum stay: A 7 night minimum stay applies to all bookings incorporating bookings over Hamilton Island Race Week dates.
  • Discount Applies to 7+ night stays (excluding festive season and Race Week): Stays of 7+ nights receive a discount calculated at 10% off the standard 7-night rate, calculated daily, then rounded up to the nearest whole dollar. Discounts will not be applied on bookings incorporating the festive season or Race Week.

Important Information:

  • All prices are quoted in AUD and include 10% GST. The following credit card transaction fees apply: 3% Amex, 1.25% Visa, MasterCard and Union Pay. Credit card transaction fees are non-refundable.
  • Maximum occupancy: Bookings will not be accepted if the maximum number of guests exceeds the stated capacity of the property. It is the responsibility of the guest to ensure that the property meets the capacity requirements of their travelling party prior to booking.
  • Check-in time is 2.00pm. 
  • Check-out time is 10.00am. Arrival and departure details are required at the time of booking.
  • Buggy Terms and Conditions: Please be aware that as a condition of use, a credit card is required for security in case of damages, a $1 bond is also required when collecting your buggy, as well as a full and current drivers license. Any repairs or replacement costs incurred due to damage whilst in your care is your responsibility. Buggy insurance may be purchased through Hamilton Island Buggy Hire only for vehicles owned by Hamilton Island. All privately owned vehicles operating on Hamilton Island have compulsory third party insurance. Authorized drivers must be a minimum age of 21 years old and hold a current drivers license to drive the vehicle. Child restraints for buggies are provided at a cost of $6 per seat for the duration of hire to all Hamilton Island Hotels and Hamilton Island Holiday Homes guests. It is a legal requirement that a passenger less than six months old must be restrained in a rearward facing infant restraint, located in the front seat. It is a legal requirement that a passenger at least six months old, but less than four years old must be restrained in a forward facing child restraint.
  • Travel Insurance: Hamilton Island Holidays recommends purchasing travel insurance to cover cancellations, travel delays and all other unforeseen incidents and accidents.
  • Velocity Points: Stays in Yacht Club Villas, Hamilton Island Holiday Homes and Whitsunday Apartments are excluded from earning Velocity Points.
  • Images displayed on the Hamilton Island website: are indicative of the Holiday Home you have booked for your stay. However please be aware that each property is subject to changes (internally and externally) as approved by the owner such as replacing / upgrading contents or modifying the property.
  • Property Removed from Letting Pool: In the event that the property you have selected is removed from the Hamilton Island Enterprises Holiday Letting pool, you will be notified and we will endeavour to offer you suitable alternative accommodation options. Should an alternate holiday property option not be suitable for the period of your stay, you may cancel your booking without penalty on the accommodation booking.
